How to Plan a Month of Instagram Posts in One Hour

  • What festivals or events fall this month? (Diwali, Eid, school exams, cricket season, Valentine's Day — whatever is relevant for your audience)
  • Do I have any business milestones coming up? (Anniversary, new location, staff addition, award)
  • What questions do customers ask me most? (These become educational posts)

You don't need more than 10 minutes for this. You're not writing posts yet — just dumping context onto paper.

Step 2: Decide your post frequency and pick your dates (5 minutes)

How many times per month do you want to post? For a small business just getting consistent, 4 posts/month (roughly once a week) is a realistic, manageable start. If you're more established, 8–12 posts/month is a strong rhythm.

Pick your dates. Pull up the month's calendar and mark the days you'll post. Make them specific: "I'll post on the 3rd, 10th, 17th, and 24th."

Don't aim for every day if you can't sustain it. Consistency over frequency — four posts every month for 12 months beats a burst of 20 posts followed by silence.

Step 3: Assign a content theme to each date (20 minutes)

  • Educational tip — "Something useful your audience didn't know"

  • Offer or CTA — "We have this. Here's how to get it."
  • Business milestone — "Something worth celebrating"

For a home baker in June, a 4-post plan might look like: June 3 — product highlight (mango special), June 10 — behind the scenes (baking day reel or photo), June 17 — customer review, June 24 — Father's Day offer.

Each date now has a theme. You're not deciding what to post daily anymore — the decisions are already made.

Step 4: Write 3 lines of notes for each post (25 minutes)

For each post, jot down three things:

  • The main point — what this post is about in one sentence
  • The image or visual — photo you'll take, graphic you'll create, or existing photo to use
  • The CTA — what should the audience do after reading? (Order, message, save, share, visit)

You're not writing the full caption yet. You're just making a brief so that when it's time to actually create the post — or hand it off to someone — the direction is clear.
